XCL World Academy (Singapore) is seeking dynamic, experienced and flexible Relief Teachers who are able to teach Early & Primary Years classes such as EY, PY Homeroom, PE, Music and Art for students from Pre-K to Grade 5 to cover full time teachers for temporary periods.

Preference will be given to teachers who have relevant subject-specific IB PYP experience, as well as a clear track record of teaching in international school settings. Due to the nature of the contract, candidates must be residing in Singapore and be eligible to work in Singapore.

XCL World Academy is seeking dynamic, experienced and flexible Relief Teachers who are able to teach or comfortable covering all subjects (Physical Education, The Arts, Design, Modern Languages, Individuals and Societies, Language and Literature  Mathematics & Science) across the Middle Years Programme and Diploma Programme (Grades 6-12) to cover teachers who are absent on medical or other leaves.  

Preference will be given to teachers who have relevant subject-specific IB MYP/DP experience, as well as a clear track record of teaching in international school settings. Due to the nature of the contract, candidates who are Singaporeans, Singapore Permanent Residents or have a pre-approved pass (Eg: Letter of Consent) to work in Singapore will be considered for the role.

Accounts Executive

XCL World Academy is seeking to recruit a professional Accounts Executive.

This position will support the accounts department and maintain accurate records and reconciliation of all accounts to ensure compliance with internal and external audit processes. Bookkeeping for XCL World Academy (Singapore) and XCL American Academy; and with specific focus on: 

Main Responsibilities 
  • Ensure invoicing is on time and accurate for all the fees of the school as per invoicing timeline and student contract.
  • Issue receipts for fees collected via cash/bank transfer/cheque and go to bank to deposit fees collected.
  • Bank reconciliation on a weekly basis.
  • Managing of student management, late joiners, posting of concession, charging of other fee charges and maintaining master file for student invoices.
  • Analyse revenue and costing for other incomes for each month end and reviewing concession posting.
  • Knowledge of FRS 115 revenue recognition and ensuring our income recognition is harmonised with the standards.
  • Analyse Month end revenue entries identifying any discrepancies.
  • Reconciliation of student numbers with class student list on a weekly basis and updating of student concession.
  • Assist in compliance with CPE Requirements in consultation with Registrar department for fee refund and other information.
  • Monitor and collect receivables by contacting parents/company via telephone, email, and mail.
  • Maintain accounts receivable records to ensure aging is up to date, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared.
  • Identifying fees outstanding before they become overdue and suggesting any corrective action before it becomes default in payment.
  • Identifying the progress made on collections, recording information on sequence of events from first contact to latest outreach or up to date records.

Monthly/Yearly Responsibilities
  • Process overseas/local suppliers’ vendor bills/payment and prepare journal entries for accurals and other adjustment. 
  • Preparation and submission of monthly XCL HQ Reports.
  • Preparation and maintenance of schedule for P&L and Balance sheet GL account as part of month -end process.
  • Assist with GL month-end closing journals and ensure accuracy.
  • Preparation of GST file.
  • Support in Corporate tax and withholding tax filing.
  • Assisting in internal and statutory year end audits.
  • Initiate effort and energy beyond the typical workday, where the tasks require additional commitment.
  • Support line manager in year-end budget and other ad-hoc activities.
  • Perform other duties as requested by direct & dotted reporting line managers / supervisors.
  • Help in implementing / improving any process and procedures.

Position Requirement:
  • A diploma / bachelor’s degree in Finance related field is required. 
  • Technical skills as required for data entry and to participate in weekly meetings. 
  • Understanding latest changes in Financial Reporting Standards FRS 115 and Singapore Tax Rules and implication for company.
  • Late sitting whenever required to complete Time Sensitive task.
  • Proficient in using Microsoft Excel with a specific focus on pivot, Vlook up & Sum and, experience with formatting summary reports, Phoenix Microsoft Dynamics, and Oracle NetSuite. (Experience with NetSuite Accounting software would be an advantage).
  • Prior experience in using ISAMS, Managebac & Open Apply would be an advantage.
  • Excellent communication skills in English (verbal and written). 
  • Strong character and integrity with the ability to work independently as well as in team, time management, attention to detail. 
  • Positive mindset and excellent interpersonal and communication skills to liaise with other departments on a regular basis.

Operations Executive

XCL World Academy is seeking to recruit an Operations Executive to oversee and support the effective management of the school’s facilities department. Provide efficient facilities management and logistical support for the smooth running of daily school operations

The successful incumbent will be the Key liaison between the Parent Association/ Faculty/ Educational Leadership/ Administration and Facilities department.

Main Responsibilities

  • Evaluate potential suppliers using developed and agreed criteria to support alignment and understanding of the expectations and requirements of engagement.
  • Monitor and report on the performance of selected vendors to ensure delivery in line with contractual obligations and performance metrics.
  • Liaise with the procurement team to review, report on and revise contractual agreements as necessary.
  • Provide guidance and bridging duties amongst all stakeholders (parents, vendors, and school administrators).
  • Vendors involved may include, but not limited to: Cleaning, Landscape, Pest Control.
  • Responsible for defining commercial communications, and the management and maintenance of the relationship between the organisation and the supplier.
  • Conduct period KPI reviews for all vendors and make good recommendations on any mitigation plan needed as well as to follow through on the proposed plan.
  • Investigate all incidents along with the affected vendor (Includes resolution of the issues, ensures issues are resolved, documented, and referenced for future review).
  • Effectively propose any required changes to current vendors and/or new vendors based on the needs and requirements of the school.
  • Performs other ad-hoc duties required by the team and assigned by the line manager.

Position Requirement:

  • A diploma or degree in Facilities Management or relevant areas of qualifications.
  • Possess an Environmental Control Coordinator License (ECC).
  • Minimum 3-5 years of experience in a similar role, preferably within a school environment.
  • Must have prior experience in some form of vendor management such as FM, pest control, etc., either managing or being a service vendor.
  • Excellent communication skills in English (verbal and written).
  • Need to have a high level of customer service mindset and ability to interact with the parent community on day-to-day operational issues.
  • Ability to empathise with blue-collar workers, walk in their shoes and find solutions for their daily problems/issues.
  • Willing to get hands dirty and walk to the ground to understand the root cause of problems.
  • Resourceful and able to seek alternative solutions to problems when they occur.
  • Able to look at the bigger picture and strategies on the mid and long-term plans for vendor management.

School Nurse

XCL World Academy is seeking to recruit a School Nurse who will be part of the clinic located within the school premises.

The successful incumbent will support the daily operations of the Health Office and deliver medical needs and assisting in health promotion, health education to staff, students and parents.

Main Responsibilities

  • Provide and manage emergency medical care and adequate medical advice for students and staff across the school.
  • Work as an informed, proactive, effective, and cohesive member of the community promoting the health and wellness aspects of the school.
  • Maintain comprehensive medical records of all students as regulated by the Ministry of Health.
  • Document and appropriately provide accurate information on accidents and illnesses to the doctors, hospitals or other relevant parties.
  • Be present for all student related activities on campus and provide first aid attention in an emergency.
  • Communicate with students, parents and teachers on medical matters and assess and advise relative parties with the information received.
  • Be informative and stay updated with the current medical practices and regulations prescribed by Government authorities and regulators.
  • Ensure the XCL policies, procedures, and codes of conduct are followed at all times.
  • Perform other administrative duties relevant to the role as requested by direct & dotted reporting line managers.
  • Abide by the school safeguarding policy, be a child safeguarding advocate, and report concerns to the Child Safeguarding lead if identified.
  • Ensures school community adheres to and is well informed of required immunization programs as per Ministry of Health guidelines
  • Provides first aid attention in case of accidents or illnesses on the school campus during all school functions.

Position Requirement:

  • Minimum Degree or Diploma in Nursing or other relevant courses.
  • To be a registered Nurse with Singapore Nursing Board.
  • Minimum 1- 5 years’ experience in a similar role, preferably within a school/paediatric environment.
  • Excellent written and verbal communication skills and interpersonal skills.
  • Good personal ethics, positive customer service attitude, and polite and pleasant demeanour.

Accountant

XCL World Academy is seeking to recruit a professional Accountant providing support to the Finance Director and Procurement Operations Manager. 

Main Responsibilities 
  • Handles full set of accounts (Independent Contributor), including month-end and year-end closing.
  • Assist with GL month-end closing journals and ensure accuracy.
  • Assist, manage and maintain Fixed Asset Register.
  • Assist and manage monthly balance sheet and P&L schedules.
  • Assist the AR/AP teams for any process control/ system improvement, following up with outstanding fees.
  • Responsible for reconciling and agreeing intercompany balances within the Group and its related companies and reporting on intercompany balances for Month-end and Year-end closing.
  • Assist and provide support on bi-monthly payment schedule.
  • Responsible for verifying/facilitating payments through online banking transactions. 
  • Process overseas/local suppliers’ payment and prepare journal entries for accruals and other adjustments.  
  • Evaluate and improve AP and GL process and timely review of Open POs.
  • Preparation of monthly and year-end schedules as per Financial Statements, Bank Reconciliation and Petty Cash.
  • Submission of FPS Insurance to ensure compliance with the mandated insurance for fees collected in advance under the Fee Protection scheme.
  • Review multiple entity accounts and liaison with various departments (E.g., Academic/Procurement)
  • Responsible for reviewing monthly reporting of related companies to ensure accuracy. 
  • Provide insight on financial matters and assist in implementing financial policies and controls with compliance of accounting policies & procedures.
  • Responsible for Year-end Statutory Audit. Liaise with external auditors to close the audit on a timely basis.
  • Liaise with Tax Agents on annual tax computation and submissions to ensure tax compliance and all tax returns are submitted on a timely basis.
  • Preparation of GST filing.
  • Support senior management and project managers on major initiatives and projects where needed.
  • Other Ad-hoc duties assigned by manager.

Position Requirement:
  • A bachelor’s degree in accountancy or a related field is required. 
  • Minimum 4 years of experience in accounting or similar role. 
  • Team player and ability to work under pressure with tight deadlines.
  • Strong audit background in Big 4 firms.
  • Excellent Hands-on bookkeeping.
  • Experience with NetSuite Accounting software would be an advantage.
  • Strong in Microsoft Word, Excel, and PowerPoint.
  • Experience in handling Statutory Audits.
  • Excellent communication skills in English (verbal and written). 
  • Excellent time management, attention to detail, multitasking and ability to work under minimal supervision.
